How a small manufacturer keeps its product catalogue up to date from ChatGPT

What kind of company is it and what problem did it have?

The scenario is illustrative: a small wooden pallet manufacturer in Bihor, with 12 employees, selling new and refurbished pallets to warehouses, factories and transport companies.

Prices change often, following timber prices, and the online catalogue kept falling behind. The manager handles both production and sales and has no time to update forms one by one.

How did it keep the catalogue up to date before?

The price list was an Excel file emailed to customers. When prices changed, existing customers got the new list, while new ones only heard about the company through referrals.

Markonex also has bulk import from an Excel file, which suits the first large catalogue. For small, frequent changes, ChatGPT is faster: you say what changed and confirm.

What do you need to work this way?

The connection is set up once. This scenario needs:

• Your company is verified by the platform (the “Verified by the platform” badge); AI assistants are available only to verified companies.
• A user with the right to manage MCP has switched the connection on for the company, in Markonex, under AI → MCP → Details.
• You have a ChatGPT plan that allows custom connectors (developer mode) and you added the Markonex connector with the address shown in Markonex, under AI → MCP → “Connection and usage”.
• When you authorise it, on the Markonex page, you tick only the permissions you need; read permissions are ticked by default, write permissions are your choice.
• Permissions used here: changing the product catalogue (catalog:write), creating following filters (rfq:write) and reading RFQs (rfq:read).

Step 1: you paste the price list and ChatGPT prepares the products

The manager copies a few rows from his price list. ChatGPT turns them into products with a name, description, price range, currency and category, ready to be saved.

   Add to the catalogue: new EUR pallet 1200x800, 45-52 lei; new pallet 1200x1000, 55-63 lei; refurbished EUR pallet grade A, 28-33 lei. All softwood, heat-treated ISPM 15.

   I prepared 3 products in the Other (packaging) category, priced in lei, with the description “softwood, heat-treated ISPM 15”. I will ask for your confirmation for each one before saving. Shall I start with the new EUR pallet?

Step 2: you confirm each product before it appears in the catalogue

A catalogue product is visible to buyers, so every addition or change goes through confirmation. Each confirmation is valid for 5 minutes.

   Confirmation required - new catalogue product: “New EUR pallet 1200x800”, 45-52 lei, Other (packaging) category, description: softwood, heat-treated ISPM 15. Do you confirm?

   Yes. I confirm the other two the same way.

3. ChatGPT

   The new EUR pallet is saved. For the other two products I will show you each summary in turn, so you confirm them separately.

Step 3: you update prices when raw materials get more expensive

A month later, timber prices rise. The manager no longer looks for each product in the platform: he writes the change in the chat and confirms it.

Step 4: you create a following filter for matching RFQs

A following filter is a saved search: Markonex notifies you when a matching request for quotation appears. Creating it has no effect on other companies, so it is done directly, without confirmation.

   I created the following filter “Wooden pallets - Bihor, Cluj, Arad”. You will get a notification in the app or by email, depending on your settings, when a matching RFQ appears. There are already 2 active requests that match; shall I show them to you?

What changed for the manufacturer?

The catalogue stays up to date without long sessions in forms, and buyers searching for pallets in Markonex see the current price. The following filter brings new requests straight to the manager, who can answer with an offer from the same chat.

As an illustrative estimate, not a measured result: a price update on a few products becomes a conversation of a few minutes rather than an hour of filling in forms.

What can ChatGPT not do through Markonex?

ChatGPT does not save or change any product without your confirmation and works only within your rights. In the activity log, every product added or changed appears as “Name (via ChatGPT)”.

• Product images are added directly in Markonex, not from the chat.
• For a large catalogue with hundreds of products, use the platform's Excel import.
• It does not issue invoices, send anything to e-Factura or make payments.
• It does not change users, permissions or company settings.
